Voicemail in 3CX is extremely easy to use. Set your greeting, listen to your voicemail messages, access a transcript, and much more, directly from your mobile app, Windows softphone or web client.

Setting up your greeting

  • From the web client

    1. Click on your avatar in the top right-hand corner, then select “Settings” and “Greetings”.



    2. From here, you can customize your greeting according to your status:


      Download a personalized greeting.

      Delete a greeting.

      Record a personalized greeting from your PC by clicking on the microphone icon.
      Record a personalized greeting from your IP phone by clicking on the desk phone icon.
      Set the default greeting, or associate messages to be played for specific statuses.

  • From a phone or application

    1. Dial 999 (or 9999 if your system has 4 digits), or press the “Envelope” button on your phone.
    2. If a PIN is requested, enter it, then press “#”.
      Your PIN is included in your “Welcome” e-mail. Ask your administrator for it, or TIC Telecom if necessary. PIN entry may have been disabled by your administrator.
    3. Select option “8”, then “0” to record your message.
    4. At the end of your message, press “#” to stop recording.

      Then choose what you wish to do:

      0 - To save
      1 - To listen
      2 - To re-record



Collect your messages

  • From the web client

    1. Go to “. . > Voicemail”.


    2. Your voicemail messages will be displayed, with details of each call.

      Use the buttons to the right of each message to manage it:



      Download the message to your computer.

      Listen to the message from an application or IP phone.

      By clicking on the button, your phone will ring, and you can pick up the handset to hear the message.

      Call back the number associated with the message.

      Delete the message

      View the message transcript. 

      (This function is subject to a charge and must be activated by an administrator)

  • From a desk phone

    1. Dial 999 (or 9999 if your system has 4 digits), or press the “Envelope” button on your phone.
    2. If a PIN is required, enter it, then press “#”.
      Your PIN is included in your “Welcome” e-mail. Ask your administrator for it, or TIC Telecom if necessary. PIN entry may have been disabled by your administrator.
    3. Press the “*” key to listen to your messages.
    4. During or after listening to a message, you can do one of the following:
          0- Skip to next message

          1 - Return to previous message

          2 - Repeat current message

          3 - Delete current message and move on to next message

          4 - Call back the number associated with the message

          5 - Transfer message to another mailbox

          9 - For more options


  • From the iOS or Android application



    1. Press the “Voicemail” icon in the bottom right-hand corner.
    2. From here, you can see all your voicemails.

      Press on a voicemail to listen to it.

    3. Alternatively, you can use the buttons to the right of the message to recall the number, display it as “listened to”, or get a transcript. (Transcription is not free and must be activated by an administrator).

  • PC application (Windows Softphone)


    1. Click on the “Voicemail” option in the left-hand 
    2. From here, you can view all your voicemail and press on a voicemail to listen to it
    3. You can right-click on a message to get more options.
